Overview
When you create an order from a conversation, SellPilot searches your variants by SKU/name/barcode, returns the full per-warehouse stock map, and picks the warehouse automatically when only one has stock. If multiple warehouses can fulfill, a picker appears and the order is tagged with your chosen warehouse so all reservations come from one location.
Requirements
- At least one connected channel that produced the conversation.
- Variants imported or created in your catalog.
- At least one warehouse with stock for the selected variant (or a non_tracked variant that doesn't reserve stock).
Step-by-step
- Open the conversation in Inbox.
- Click Create order in the right panel.
- Search a variant — the picker shows current stock for every warehouse.
- If multiple warehouses have stock, choose one. The order line shows Ships from: <warehouse>.
- Add customer details, shipping, taxes and discounts. Confirm.
Expected result
On confirmation SellPilot creates the order, reserves stock at the chosen warehouse, links the order to the conversation, and (where supported) enqueues an inventory push to the channel for that warehouse only.
Tips
- Map warehouses to channel locations before confirming so inventory push has somewhere to land.
- Non-tracked variants skip reservations entirely — they never block confirmation.
Common mistakes
- Confirming the order before mapping the warehouse to a channel location — the order succeeds but no push is sent. SellPilot records a diagnostic so you can fix the mapping.
- Editing reserved stock manually in the inventory table.
Diagnostics
- Order Timeline shows the warehouse selected on each line.
- Inventory Movements show a Reservation row for each line.
- Channels → Locations shows Local-only for unmapped warehouses.
FAQ
- What happens if a warehouse isn't mapped to my channel?
- The order is created and reserves stock locally. No inventory push is sent and SellPilot records a deduplicated diagnostic so you can map the warehouse later without losing the order.
